This Privacy Policy is designed to help you understand how Ulster University, ("we," "us," or "our") collects,
uses, and shares personal data when you use our mobile application [iMPAKT App] (the "App"). We are
committed to protecting the privacy of healthcare staff (“users”) who access the App. Please read this Privacy
Policy carefully to understand your rights regarding your personal data.

We collect the following personal data for the purposes of providing and improving our services:
2.1 User Email Address:

We collect and store the email address associated with each user account for the purpose of user
authentication.
2.2 Audio Recordings and Transcriptions:

The App allows users to record audio of patients discussing their experiences of care. These audio
recordings are processed using speech-to-text software, and transcriptions are stored by the App for the
purposes of collecting data on care experience. No personal or identifiable information is audio-
recorded.
3. How We Use Your Personal Data
We use your personal data for the following purposes:

User Authentication: We use your email address to create and authenticate your user account.

Communication: We may use your email address to send important information about the App,
updates, and notifications.

Audio Recordings and Transcriptions: Audio recordings of patients discussing their experiences of
care will be stored for a maximum of 48 hours to facilitate the App's functionality and allow users to
review the transcriptions for the purposes of collecting data on care experience. Speech to text
transcriptions are stored by the App until the process of collecting data on patients’ experience of care
has been completed by the user.
4. Legal Basis for Processing
We process your personal data on the following legal bases:

contractual obligations to you as a user of the App.

using the App.
